JOB DESCRIPTION

FORMAL POSITION TITLE: Part-Time Spa Coordinator   

REPORTS TO:

Reports directly to the Front Desk Manager for any needs, concerns, or direction.

REQUIREMENTS

We believe that exceptional service starts with an exceptional team. You’d be a great fit if you have:

  • Experience with at least one year of verifiable in-person customer service (Required).
  • Experience with Mindbody Software (Bonus but not required). 
  • Ability to work 25 hours per week, including one weekend day.
  • Understanding of the functions and navigation of PCs. 
  • Experience with Google Suite and Monday. 
  • Punctuality, reliability, and responsibility. 
  • Problem-solving skills. 
  • Ability to work independently with little supervision. 
  • Ability to work well in a group setting. 
  • Ability to maintain composure in stressful situations. 
  • Understanding of massage and its benefits to clients and the community.
  • A goal-oriented mindset.

COMPENSATION

  • Pay starts at  $18.00 per hour

JOB SUMMARY

The Spa Coordinator is responsible for creating a warm and inviting customer experience for clients as they check-in and out of the spa. Spa Coordinators are responsible for answering calls, scheduling appointments, selling memberships, and setting up sauna treatments. Spa Coordinators may manage spa attendants and spa projects as needed, all while creating a close-knit, supportive, and caring professional culture that strives to be a place of growth for everyone.

ROLE ACCOUNTABILITIES

THE SPA COORDINATOR’S ACCOUNTABILITIES INCLUDE: 

Software:

  • To learn the Mindbody client software
  • To learn the basics of Google Workspace
  • To understand the basics of Monday Boards

Daily Tasks:

  • Cash Register Management 
  • Daily Task List – Google Doc
  • Receiving of linens 
  • Laundry
  • Taking out trash
  • light housekeeping
  • End of the day reports

Client Services:

  • Putting clients in Infrared Sauna 
  • Scheduling of standard Ballaura massages
  • Scheduling of Medical Massages
  • Selling massage memberships

Maintain and Create Customer Experience:

  • Client Communications
  • Identify missed opportunities and areas to grow
  • Facilities Care
  • Create ambiance
  • Dealing with detractor reviews
  • Responding to other spa reviews

Manage Team:

  • Report any tardies and call-outs to the spa manager 
  • Assist in the Training of new Spa Coordinators or Spa Attendants
  • Ensure Spa Attendants are doing their job while on your shift

Collaborate with Leadership and Team Members:

  • Collaborate with Front Desk Manager on growth strategies
  • Communicate with the management team as needed
  • Communicate as needed with the Insurance Coordinator

 

COMMUNICATION

Spa Coordinator 

  • Daily reports to the spa coordinator hangout thread each day has a new thread and are to be labeled with the date.  
  • All communications for this day will only go here. 
  • Communicates urgent information as follows:
    • Fire, flooding, and property damage should be reported immediately via phone call and text message.
    • For other urgent information, please send a chat to the Front Desk Manager and label the message **URGENT** at the beginning of the chat.
